Booking terms
Last updated 10 October 2026
These terms explain what you get when you book The Guest Gallery, and what we each agree to. We have kept them short and in plain English. Please read them before you book, because ticking the box on the booking page means you accept them.
1. Who we are
The Guest Gallery is run by Northern Education Videos Ltd, a company registered in England and Wales (company number 13932342). Our registered address is Red Ivy Bungalow, Holmside Lane, Burnhope, Co Durham, DH7 0DP.
You can contact us at hello@guestgallery.me. In these terms, "we" and "us" means us, and "you" means the couple who books.
2. What you are booking
You are booking a private online gallery for your wedding, birthday party or event. Your guests scan a QR code and upload their photos and videos. You then view and download everything from your own page, protected by a PIN.
- The Gallery includes unlimited photo and video uploads, your private gallery, QR codes and table cards, email updates and "download all".
- The Full Story includes everything in The Gallery, plus the scavenger hunt and guest video messages.
Your page and QR codes are ready as soon as you book. Your gallery opens to you from 9am the morning after your wedding.
3. Price and payment
The price is shown on the booking page before you pay. You pay in full by card when you book, through Stripe's secure checkout. We are not VAT registered, so no VAT is added.
The payment will show as Northern Education Videos on your card statement.
Offer prices apply to bookings made by the date shown on the website, for a wedding on any date. A partner code from your photographer or videographer gives a discount on the standard price. Partner codes cannot be combined with an offer price.
Gifts. A gift code pays for the package it was bought for. It can be used once, for a wedding on any date, and is valid for two years from purchase. If the couple choose the other package, the amount paid for the gift comes off its price. You can cancel an unused gift within 14 days of buying it for a full refund.
4. Your gallery dates
Your gallery stays open for 30 days after your wedding with The Gallery, or 90 days with The Full Story. We email you before it closes, so you have time to download everything.
If your wedding date changes, just let us know. We will move your gallery dates to match, at no extra cost.
While your gallery is open, you can keep it open for longer. The first extension costs £20, and each one after that costs £15. Each adds a year to the closing date. Guests can keep adding photos and videos during that time.
5. Changing your mind
You can cancel within 14 days of booking for a full refund, as long as no guest has uploaded anything yet. Email us to cancel.
After 14 days, or once guests have started uploading, we cannot offer a refund. This is because your gallery is set up and in use. Your legal rights still apply if something goes wrong, as set out below.
6. Your guests' photos and videos
The photos and videos belong to the guests who took them. By uploading, a guest is happy for you to view, download and keep them. We only store and handle them so we can provide your gallery.
We never use your photos or videos for our own marketing without your written permission.
Photos are kept at the size the guest's phone sends. Videos arrive exactly as each guest's phone sends them, so quality depends on the phone and the connection.
Please share your QR code only with your guests. If anything unlawful or offensive is uploaded, we may remove it from your gallery.
Photo times. We show photos and videos in the order they were taken, using the date and time saved by each guest's phone. If a guest's phone clock is set wrongly, their photos may appear out of order. If a file has no time saved, we use the time it was uploaded instead.
7. When your gallery closes
When your gallery closes, it is no longer available to view or download. We keep a backup copy of the original files for up to 6 months after closing, in case you need help. You can ask us to delete it sooner at any time.
8. What we are responsible for
We will provide your gallery with reasonable care and skill. If something goes wrong because of us, we will do our best to put it right quickly.
However, we cannot control how many guests upload, or problems with their phones, venue Wi-Fi or mobile signal. We are not responsible for files a guest never sends.
If we are responsible for a problem, our liability is limited to the amount you paid. Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit. Your statutory rights are not affected.
9. If there is a problem
Please email us first, and we will always try to sort it out. These terms are governed by the law of England and Wales.
10. Changes to these terms
We may update these terms from time to time. The terms that apply to you are the ones on the website when you booked.
