How to collect photos from your wedding guests

By Adam Chetter, award-winning wedding filmmaker

The short answer

The easiest way to collect photos from your wedding guests is a QR code on each table that opens a shared upload page. Guests scan it with their phone camera and add their photos and videos in seconds, with no app or sign-up. Everything lands in one private gallery, so nothing gets lost in group chats.

Why guest photos go missing

Your guests will take hundreds of photos and videos on the day. Most of them stay on their phones.

It isn’t that people don’t want to share. Instead, it’s that sending them is a chore. WhatsApp shrinks photos, group chats get buried, and “I’ll send them later” rarely happens.

So the best method is the one that asks the least of your guests.

The main options

Group chats. Free and familiar, but photos are compressed, videos are often too large, and everything is scattered across messages.

Shared cloud albums. Good quality, but guests usually need the right app or an account, and many won’t bother.

Wedding hashtags. Only catch what people post publicly, and nothing private or full size.

Disposable cameras. Fun, but costly across every table, with mixed results and nothing until they’re developed.

A QR code guest gallery. One scan opens an upload page in the phone’s normal browser. Photos and videos arrive at full size, in one private place.

How to get guests to actually upload

Put a QR card on every table, and a sign by the entrance or bar. The fewer steps, the more people join in.

Ask someone to mention it during the speeches. A quick reminder makes a real difference.

Send a short message to guests a day or two after, with the link. Plenty of the best photos get shared from home.

Give people a reason to take photos, such as a list of shots to find. It gets everyone snapping.

What to look for in a guest photo gallery

No app or sign-up for guests, and it should work on every iPhone and Android.

Full-size photos and videos, not compressed copies.

A private gallery that only you can open, with the option to share it with guests if you choose.

Uploads that cope with poor venue signal, and an easy way to download everything at the end.

Questions couples ask

Do guests need to download an app?

Not with a QR code gallery like The Guest Gallery. The code opens a web page in the phone’s normal browser.

Can guests upload videos as well as photos?

Yes. Videos are often the most treasured, such as the first dance or the speeches from a guest’s seat.

When should we share the link?

Put QR cards out on the day, then send the link again a day or two after, so guests can add photos from home.

The Guest Gallery does all of this, from £39 as a one-off payment.
